titleRecommended Process for All LYNX Versions Except Workday

For all versions of LYNX except Workday, this is the recommended process to perform after you've created a new import extract set, although it is not technically required. LYNX is designed to operate automatically on an ongoing basis to import all section data that is part of an active import extract set.

If you are using LYNX for Workday, you can re-import sections that have not changed since the previous initialization with the process described below. If sections have been changed in Workday you must first use the SIS Course Section Initialization process before importing anything, or else the changes will not be picked up. You may also configure LYNX to automatically initialize up to three term codes from Workday every hour. See Initializing SIS Term Data

titleWorkday Section Data Import Limitations

LYNX for Workday doesn't support the import of registered headcount, only of expected headcount, nor does it support the import of contact details for academic affiliates, only for instructors. These are temporary situations until Workday updates their API to support such data imports.

To Review and Import an Extract Set

  1. From the LYNX Import to 25Live menu, choose Section Import.
  2. On the Extract Sets for 25Live Imports page, select the extract set you want to import, then click Review and Import.
  3. Review the sections included in the Import Extract Set list near the bottom of the page. The list shows the following information for each section:
    Term Code (for example, 201940)
    Import?—this column indicates whether or not the section will be imported and, if not, the reason. “Yes” indicates the section will be imported. “Not Active” indicates the section has been canceled in the SIS, so won’t be imported. “No Dates” indicates the section has a missing or incomplete meeting pattern in the SIS, so won’t be imported. If you want to import the section, correct it in the SIS before you run the LYNX import process.

  4. Click Import to 25Live, then click Yes to confirm. On the Import Details page, you see the progress of the import and, when the import is 100% Complete, the process details and chunk information.

    titleWhat data is preserved during an import?

    When a LYNX import updates a section in 25Live, it replaces everything with the most current SIS information. If there is a discrepancy between 25Live and the SIS in dates, times, instructor, or location assignment, the SIS wins. Sections that are cross-listed or combined with different location preassignments in the SIS are treated specially. In 25Live, each event will have multiple location assignments corresponding to the preassignments on each meeting pattern.This includes:

    • Meeting pattern dates and times
    • Assigned location
    • Expected and registered headcount
    • Subject code (organization)
    • Description (used for the section's instructor)
    • System-defined custom attributes (those which include SIS data such as term code)

    Some 25Live data elements have no analogues to SIS data – resource assignments, custom attributes, and comments – and are unaffected by LYNX imports (Resource assignments may be affected based on availability if a section's dates or times are changed.:

    • Object security
    • Internal/confirmation notes
    • User-defined custom attributes
    • Assigned resources (unless changes to a meeting pattern affect the resource's availability)
  5. Review the process details which include the following:
    Process ID—the internal number of the import process
    Type—the type of import, in this case Section
    Manual?—in this case Yes, since the process was initiated by an Interface user, not as an automated process
    Section Count—the number of sections submitted for import
    Sections Processed—the number of sections successfully processed
    Sections Excluded—the number of sections excluded from the process
    Chunk Count—the number of data chunks required
    Create Date—when the import process was run

  6. To see the import process messages, click View All Messages to go to the Import/Export Messages page. In the Import to 25Live - Summary By Message Level area, you can see at a glance the total number of items (in this case sections) the Interface attempted to import, and the number with warnings or errors. The detail list below shows the following for each section:
    UID—The internal ID
    Type—in this case Section
    Name—the name of the section
    Date—when the import process attempted to import the section
    Level—the message severity level associated with the section: Info, Warning, or Error

  7. When you’re done reviewing the messages, click Back above the message list to return to the Import Details page.

Use the navigation controls below the message list to find and display the sections you’re interested in. You can also sort the list by clicking the heading you want to sort by.

Click the Show Message Summary button above the list to see a summary of all the messages on the page, including a count of the number of times each message was generated and the specific objects that triggered it.


Click the download icon above the list or summary to download the information in Excel format.
